The Sales Dashboard on ZenPass provides a clear and efficient way to track all your bookings and package sales. Whether you’re offering private sessions, classes, or bundled packages, this dashboard is your central hub for viewing client purchases and managing sessions.

Accessing the Sales Dashboard

To access your sales:

Navigate to the sidebar and click Sales

Log in to your ZenPass account

You will be directed to the All Sales view by default. From here, you can switch between:

  • Bookings – individual sessions or event sign-ups
  • Packages – multi-session or bundled offerings

What You Can See in the Dashboard

Each row in the Sales table gives you a summary of a client transaction. The table includes the following columns:

ColumnDescription
TypeIndicates whether it’s a private session, event, or package
CodeUnique reference code for the transaction
OfferingThe name of the service or event booked
ClientName of the client who made the booking
EmailClient’s contact email
StatusBooking status – upcoming, completed, or cancelled
PriceAmount paid by the client

SourceIndicates whether the booking was made through ZenPass or externally

Using Search and Filters

To manage high volumes of bookings efficiently, use the Search and Filters tools at the top of the dashboard.

  • Search: Quickly find sales using client name, email address, or the name of the offering
  • Filters: Narrow results by date range, booking status, or type of offering

These tools allow you to locate specific bookings or track trends in your sales over time.

Viewing and Managing Individual Sales

You can take action on any booking directly from the dashboard. Click the Code (e.g., ZP-E5485844) to open detailed information about that transaction.

From here you can:

View Booking Details

  • Full offering description
  • Client name and contact details
  • Time and date of the session
  • Payment status
  • Notes added by the client (if any)

Cancel a Booking

  1. Click the booking code to open the details

  1. Select the Cancel option
  2. Choose whether to notify the client by email

Please note: cancellations do automatically process refunds via Stripe.

Rebook a Client

  1. Open the existing booking

  1. Choose a new date and time
  2. Confirm the rebooking and optionally send the client a notification

This is useful for rescheduling sessions without requiring a new payment or duplicate booking.

Tracking Package Sales

In the Packages tab, you can view all package sales and monitor client usage. For each package, you can see:

  • Client information
  • Package name
  • Number of sessions used vs remaining
  • Expiry date (if applicable)

This section is ideal for managing repeat clients and maintaining an overview of prepaid services.

Understanding Booking Status

The Status column helps you keep track of client attendance and upcoming appointments.

StatusMeaning
UpcomingThe session is scheduled and has not yet occurred
CompletedThe session has taken place
CancelledThe session was cancelled by the client or provider

You can use filters to isolate only upcoming sessions if you’re preparing for your week ahead, or completed sessions for post-session follow-ups.

Frequently Asked Questions

Can I edit a booking?

Edits such as time or date changes should be handled using the rebook function. For changes to services or prices, it’s best to cancel and recreate the booking.

What if a client paid externally?

Yes clients can pay externally if you book them in for an appointment / event – we will still reflect in the sales dashboard their payment.

Can I download or export sales data?

ZenPass support direct exports from the Sales dashboard of all your past & upcoming bookings.

Best Practices

  • Review your dashboard weekly to stay up to date with payments and bookings
  • Use the Filters feature to quickly locate no-shows, repeat clients, or unpaid sessions
  • Rebook clients rather than cancelling and starting over to maintain continuity in your records
  • Ensure client email addresses are accurate so booking updates and confirmations are delivered

Summary

The Sales Dashboard is a powerful tool to help you manage your business more efficiently. With all your bookings, payments, and client details in one place, you can stay organised, maintain a professional workflow, and provide a smooth experience for your clients.
