What You Can Export from Phorest
We recommend exporting the following data sets:
- Clients – Names, contact information, and notes
- Appointments – Past and upcoming bookings
- Services – Service names, durations, and pricing
- Products – Product names and details
- Staff Members – Names and roles
- Sales Transactions – Financial records
Once you’ve exported these files, you can send them to the ZenPass team for secure import.
Step-by-Step Guide to Exporting Data
1. Exporting Client Information
- Log in to your Phorest account.
- Navigate to Marketing > Client Export.
- Choose any filters you would like to apply, or leave them blank for a full export.
- Click Emails (CSV) to generate the export.
Note: This export will only include clients who have opted in for email marketing.
2. Exporting Appointments
- Navigate to Manager > Reports > Additional Reports > Staff Appointments.
- Set the desired date range and select the staff member(s) if needed.
- Click View Report, then use the Export option to download the data.
Note: This report provides a breakdown of all appointments booked throughout the selected dates.
3. Exporting Services
- Go to Manager > Services.
- Click on Export all services to download the list.
Note: If you have multiple locations, repeat this process for each location to get all services.
4. Exporting Products
- Navigate to Manager > Inventory > Products.
- Use the Export option to download your product list.
Note: This will provide you with a list of your products and their current stock levels.
5. Exporting Staff Members
- Go to Manager > Staff.
- Manually compile a list of your staff members, including their names and roles, into a spreadsheet.
Note: Phorest does not currently offer a direct export option for staff members.
6. Exporting Sales Transactions
- Navigate to Manager > Business > CSV Export.
- Click + New Export, set the desired date range, and select the export format.
- Click OK to start your export.
- Once the export is complete, click the download icon to retrieve your file.
Note: This allows you to build custom reports and facilitate the import of data into different software systems.
Sending Your Data to ZenPass
Once you’ve gathered all the necessary files:
- Email them to contact@zen-pass.com.
- Use the subject line: “Data Transfer – [Your Business Name]”.
- Our team will confirm receipt and begin the import process.
Data imports are typically completed within 3–5 business days.
