Transitioning to ZenPass is seamless when you have your existing data ready for import. This guide provides step-by-step instructions to help you export your client and appointment information from Vagaro, preparing it for import into ZenPass.
Exporting Client Information from Vagaro
To export your client list from Vagaro:
- Log in to your Vagaro account.
- Navigate to Reports > Customers > Customers.
- Optionally, apply filters to narrow down the client list.
- Click Run Report.
- At the bottom of the screen, click Export, then select Excel
The exported file will include:
- Client names
- Contact information
- Appointment history
- Membership details
- Notes and tags
Note: Only the business owner can export the customer list.

Exporting Appointment Data from Vagaro
To export your appointment data:
- Log in to your Vagaro account.
- Navigate to Reports > Appointments > Appointment Summary.
- Set the desired Date Range for the appointments you wish to export.
- Click Run Report.
- Switch to Grid View for a tabular format.
- At the bottom of the screen, click Export, then select Excel.
The exported file will contain:
- Appointment dates and times
- Client names
- Service details
- Appointment statuses
- Staff assigned
Note: For comprehensive data, ensure all relevant appointment statuses are included in the report.

Preparing Your Data for ZenPass
Once you’ve exported your data:
- Review the CSV files to ensure all necessary information is included.
- If you have multiple files, consolidate them as needed.
- Ensure the data is clean and free of duplicates.
